I. Personal Data Controller:
The Controller of your personal data is the University of Warmia and Mazury in Olsztyn, with its registered office at ul. Michała Oczapowskiego 2, 10-719 Olsztyn.
II. Data Protection Officer:

III. Purposes and basis of processing:
Pursuant to the Act of 20 July 2018 - The Law on Higher Education and Science (consolidated text: Journal of Laws of 2024, item 1571, as amended) and the Regulation of the Minister of Science and Higher Education of 27 September 2018 on studies (Journal of Laws of 2023, item 2787, as amended), your personal data will be processed for the purpose of creating an account in the Online Candidate Registration system and for the purpose of admissions. The email address and telephone number provided are used to protect your interests and are necessary for the Recruitment Committee to contact you promptly. In the case of admission to studies, personal data may be processed for the following purposes:
· documenting the course of studies,
· processing applications and issuing decisions and certificates (including for graduates) regarding the course of studies,
· granting and paying financial assistance benefits,
· conducting the procedure for awarding a professional title,
· conducting career path investigations (only for graduates),
· handling the application process for student housing, including processing the application, allocating a place, making reservations, and providing accommodation and managing the stay in the student housing.
IV. Categories of data we process:
First name(s), last name, PESEL number, date of birth, gender, place of birth, country of birth, citizenship, address, telephone number, email address, education, type and name of the school/university attended, results of the previous stage of education, type, series, number, and country of issue of the ID document, and photograph (in the case of admission to higher education).
V. Recipient of data:
Personal data will not be shared with other entities except as permitted by law. Data will be processed automatically, including profiling, to calculate the number of points obtained in the admission process and to establish a ranking list, based on which the Admissions/Qualification Committee decides on qualification for admission to higher/postgraduate studies. For higher education applicants, anonymized data regarding results obtained on their secondary school leaving certificates may be shared with institutions collaborating with the University to provide data related to the analysis of secondary school leaving examination results and the analysis of the educational potential and academic careers of admitted candidates.
VI. Data Retention Period:
We retain data for a period of 6 months or for the duration of any claims related to admission. After admission, data will be retained for the duration of the studies or for the duration of any claims related to the studies, and in archives after graduation for 50 years, and in the case of applications related to the student housing process – for 5 years.
VII. Your rights:
You have:
· the right to access your data and receive a copy thereof,
· the right to rectify your data,
· the right to erase your data,
· the right to restrict data processing,
· the right to object to data processing,
· the right to data portability,
· the right to lodge a complaint with a supervisory authority,
· the right to withdraw consent to the processing of your personal data.

VIII. Information on the mandatory/voluntary nature of data provision:
Providing your data is a condition for participation in recruitment and for pursuing studies at the University. If you do not provide your data, we may refuse admission to the University, and you may lose your right to study at the University of Warmia and Mazury in Olsztyn.
