Personal data processing information

 We hereby inform you that we process your personal data.

The details are provided below.

 

I. Personal Data Administrator:

Your Personal Data Administrator is the University of Warmia and Mazury in Olsztyn with its registered office at ul. Michała Oczapowskiego 2, 10-719 Olsztyn.

 

II. Data Protection Inspector:

We have appointed a Data Protection Inspector who you may contact regarding the protection of your personal data and the exercise of your rights via a form on the website: uwm.edu.pl/daneosobowe/formularz and by email: bkw@uwm.edu.pl; telephone.: 89-523-36-78 or in writing to: ul. Prawocheńskiego 9, pok. 109, 10-719 Olsztyn.

 

III. Purposes and Legal Grounds for Processing Data:

Pursuant to the Law on Higher Education and Science Act of 20 July 2018 (Journal of Laws of 2023, item 742, as amended) and the Regulation of the Minister of Science and Higher Education of 27 September 2018 on studies (Journal of Laws of 2023, item 2787, as amended) your personal data shall be processed for the purposes of student recruitment, statistical and archival. Your email address and telephone number are used only with regard to the protection of your interests and they are indispensable to the Recruitment Committee for contacting you quickly. In case you matriculate, your personal data may be processed for the following purposes:

  • to make and enter into an agreement on the fee payment conditions, regarding studies and education services,
  • to perform the agreement,
  • to keep education records,
  • to consider applications and make decisions and certificates (also in the case of graduates) regarding the course of studies,
  • to award and provide financial aid,  
  • to carry out the procedure for awarding a degree,
  • to carry out the professional career surveys (only for graduates).

 

IV. Categories of Personal Data We Process:

First name/middle name, surname, PESEL number, date of birth, sex, place of birth, country of birth, nationality, address, telephone number, email address, education, type and name of school you graduated from, results of the previous stage of education, type, number and series of your ID and country of its issuing, photography (in the case of admission to higher education).

 

 

V. Recipient of Data:

Other entities shall not be provided access to your personal data except in the situations provided for in law. The data shall be processed by automated means and profiled in order to calculate the number of points received during the recruitment procedure and to make a ranking list which the Recruitment/ Qualification Committee will use to decide who is to matriculate.

In the case of candidates for higher education we may provide access to the anonymised data referring to the marks on the secondary school certificate for the institutions co-operating with the University within the scope of providing the data relating to the analysis of matriculation (matura)  exams and an analysis of educational potential and academic career of matriculated students. Perspektywy, ul. Nowogrodzka 31, 00-511 Warsaw co-operates with the University in this scope.

 

VI. Data Retention Period:

Your data shall be kept for 6 months or for the period of time in which you pursue claims concerning your matriculation. After your matriculation, the data shall be kept for the period of studies or for the period of time in which you pursue claims concerning studies and in the archive for 50 years after your graduation.

 

VII. Your Rights:

You have the right to:

  • access your data and receive a copy of them,
  • rectify your data,
  • erase data,
  • restrict the scope of data processing,
  • object to data processing,
  • transfer data,
  • lodge a complaint to the supervisory body,
  • withdraw your consent for data processing

In order to exercise your rights, we ask you to submit a request you are entitled to the Data Protection Inspector of the University of Warmia and Mazury in Olsztyn. You can find the designated procedures on the website: uwm.edu.pl/daneosobowe.

 

VIII. Information on the Requirement/Voluntariness to Provide Data:

You have to provide your data in order to take part in the recruitment process and study at the University.

If you do not provide your data, we may refuse your matriculation, making and entering into the agreement, and you may lose the right to study at the University of Warmia and Mazury in Olsztyn.

Consent to the processing of personal data

I agree to the processing of personal data by the University of Warmia and Mazury in Olsztyn with headquarters at ul. Michała Oczapowskiego 2, 10-719 Olsztyn for the purposes of recruitment for studies, statistical and archival.  

Please be advised that your consent may be revoked at any time by providing a withdrawal form of consent to the UWM Data Protection Inspector, which can be downloaded from: www.uwm.edu.pl/daneosobowe. Withdrawal of consent will not affect the lawfulness of the processing which has been carried out on the basis of your consent prior to its withdrawal.
